Conference Coordinator

  Reports to: Project Manager
Staff Reporting to Position: None; ad hoc supervision of Conference Assistant and support staff

Qualifications:
  • B.A./B.S. degree.
  • 3 or more years of conference planning experience.
  • Excellent problemsolving ability.
  • Excellent oral/written communication and organizational skills.
  • Excellent interpersonal skills.
Overview of Position: Responsible for providing planning and logistical meeting support.

Primary Duties (under minimal supervision):
  • Plan, schedule, and coordinate logistical services and materials for premeeting, onsite, and postmeeting support.
  • Attend meeting planning sessions.
  • Assist the Project Manager in preparing work statements, workplans, and budgets.
  • Plan and coordinate travel, lodging, room setups, food and beverage functions, and mailings.
  • Direct conference staff in preparing materials, contacting participants, and making logistical arrangements.
  • Conduct preliminary quality control of deliverables, including draft and final meeting materials.
  • Review reimbursement vouchers and vendor invoices as required, and submit for approval by the Project Manager.
  • Draft/write meeting-related reports and provide input into technical progress reports.
  • Research technical proposal sections.
  • Perform other duties as assigned.
