Reports to: Project Manager
Staff Reporting to Position: None; ad hoc supervision of Conference Assistant and support staff
Qualifications:
- B.A./B.S. degree.
- 3 or more years of conference planning experience.
- Excellent problemsolving ability.
- Excellent oral/written communication and organizational skills.
- Excellent interpersonal skills.
Overview of Position: Responsible for providing planning and logistical meeting support.
Primary Duties (under minimal supervision):
- Plan, schedule, and coordinate logistical services
and materials for premeeting, onsite, and postmeeting
support.
- Attend meeting planning sessions.
- Assist the Project Manager in preparing work statements, workplans, and budgets.
- Plan and coordinate travel, lodging, room setups, food and beverage functions, and mailings.
- Direct conference staff in preparing materials, contacting participants, and making logistical arrangements.
- Conduct preliminary quality control of deliverables, including draft and final meeting materials.
- Review reimbursement vouchers and vendor invoices as required, and submit for approval by the Project Manager.
- Draft/write meeting-related reports and provide input into technical progress reports.
- Research technical proposal sections.
- Perform other duties as assigned.
